The Situation
Harmony Jewels sought to further centralise and improve visibility of inventory information across its jewellery operation. Stock comprised multiple product categories, including engagement rings, eternity rings, wedding bands, earrings, pendants, loose diamonds and gemstones.
The existing operating model used multiple Excel spreadsheets alongside manual stock reconciliation. The requirement was to establish a single operational system capable of recording, controlling and presenting stock information whilst supporting day-to-day sales and fulfilment activity.
The Requirement
The task was to design and implement a centralised stock management and fulfilment system capable of:
Consolidating inventory information and stock movements
Maintaining product, cost and location data
Providing user-level accountability and role-appropriate access
Supporting concurrent multi-user operation
Generating useful management information
The Solution
A centralised stock management application was designed and implemented using Google AppSheet, with Google Sheets serving as the underlying data store.
The system consolidated product, stock, cost, location, movement, user and sales information within a single operational environment. The application was deployed across desktop laptops, tablets and mobile devices, allowing authorised users to access and update information concurrently.
Individual stock records could contain:
Product image, code and description
Current stock quantity and unit production cost
Product location
Responsible user
Date and time of entry
Digital signature
Stock movements were recorded directly within the application, with user identification and automatically generated timestamps providing a consistent operational record.
Access was structured according to user responsibilities. Sales personnel were provided with the information and functions required for customer-facing stock management, whilst administrative functions such as stock creation were restricted to appropriate users. Management retained broader visibility across inventory, movements and sales activity.
Implementation & Deployment
The initial working system was developed and tested independently within approximately two weeks. Following management review and approval, the application was deployed across company hardware and formally approved for operational use.
The complete system was operational within approximately one month.
Implementation followed the sequence of requirements analysis, system design, development, testing, management approval, deployment, training and operational support.
An initial toolbox talk introduced users to the system and its operating procedures. This was followed by approximately one month of hands-on support during adoption, after which the system was transitioned into routine operational use.
The Effect
The implementation established a central operational view of inventory and stock activity, providing a consistent method for recording stock movements and accessing product information across multiple devices.
The system introduced user identification, automatic timestamps, digital signatures and role-appropriate access controls into the stock management process. This provided greater visibility of stock activity whilst maintaining appropriate separation between operational and administrative functions.
The resulting data could be used by management to support:
Inventory and product-category demand analysis
Stock velocity and inventory holding analysis
Historical demand analysis
Production-cost visibility
Procurement planning
Operating-cost forecasting
Product profitability analysis
In particular, linking stock movements with production cost provided a stronger basis for assessing the commercial performance of inventory and supporting procurement decisions.
Project Assessment
The implementation converted a predominantly spreadsheet-based stock management process into a centralised, role-controlled operational system.
The principal improvement was not the introduction of new software in isolation, but the creation of a consistent information flow:
CAPTURE, CONTROL, CONSOLIDATE, ANALYSE, ACT
The resulting system provided a common operational view of inventory whilst converting day-to-day stock activity into structured management information capable of supporting both immediate operational requirements and longer-term commercial decision-making.
Lesson Identified
Effective operational technology does not necessarily require a complex enterprise platform.
Where the business requirement is clearly understood, a proportionate technology stack can provide a robust and tailored solution when supported by sound process design, appropriate data structures, effective access controls, well-defined user workflows and disciplined implementation.
The project demonstrated that the value of an operational system lies not principally in the complexity of its technology, but in how effectively it converts business activity into controlled, accessible and actionable information.
