The Challenge
Harmony Jewels managed stock across multiple Excel spreadsheets, alongside manual reconciliation.
Its inventory included finished jewellery, loose diamonds and gemstones. Sales staff needed reliable stock information, while management needed clearer visibility of quantities, locations, costs and movements.
The requirement was straightforward: one shared operational record that the team could maintain throughout the working day.
The System
A centralised application brought stock records, locations, production costs and movements into one environment, accessible across laptops, tablets and mobile devices.
Each item could carry its own image, product code, technical description, quantity, cost and location.
Shared stock visibility
Authorised staff could access and update the same operational records.
Traceable movements
User identification and automatic timestamps recorded who changed stock and when. Digital signatures provided an additional record of activity.
Controlled access
Sales staff received the functions needed for their work. Stock creation and other administrative functions were restricted to appropriate users.
Putting It Into Operation
An initial working version was developed and tested within approximately two weeks.
Following management review, the application was deployed across company hardware and introduced through a toolbox talk. Hands-on support helped the team adopt the system.
The complete implementation took approximately one month.
The Practical Improvement
The project established a consistent way to record stock activity and retrieve product information.
Management gained a shared view of inventory, with movements linked to quantities, locations, responsible users and production costs. This structured information provided a basis for reviewing demand, stock holding and purchasing requirements.
The improvement was practical: fewer disconnected records and clearer accountability for stock activity.
